Privacy by design
Inbox Maid is a local-first desktop application. Your Gmail credentials, OpenAI API key, settings, and run history are stored on your own device. Mailbox content is read on your device, and AI requests are sent directly from your device to OpenAI using your own API key. We do not operate centralized mailbox hosting or store copies of your email on our servers. This means that, for most of what the app does, very little personal data ever reaches us.
Who is responsible for your data
For website visits, license purchases, and support, Kingmaker Analytics LLC (United States) is the data controller. For the email content you process inside the app, you direct the processing and your chosen providers (Google and OpenAI) act under their own terms.
Lawful bases for processing
Where we process personal data, we rely on one or more of the following lawful bases:
- Contract — to deliver the software, validate your license, and provide support.
- Consent — for example, when you submit a form or join the early-access list.
- Legitimate interests — to operate, secure, and improve the website and prevent fraud, balanced against your rights.
- Legal obligation — to comply with applicable law, including tax and accounting rules.
Your rights
Subject to applicable law, you may:
- Access the personal data we hold about you
- Rectify inaccurate or incomplete data
- Erase your data (“right to be forgotten”)
- Restrict or object to certain processing
- Port your data to another provider
- Withdraw consent at any time, without affecting prior lawful processing
- Lodge a complaint with your local supervisory authority
Most app data is under your direct control — you can disconnect Google access and use Delete local data in Settings at any time.

International data transfers
We are based in the United States. Where personal data is transferred from the EEA or UK to the United States or other countries, our providers rely on appropriate safeguards such as Standard Contractual Clauses. See Data Processing & Sub-processors for the providers involved.
